MAIN DUTIES AND RESPONSIBILITIES

 Administrative support

•     Acting as the key point of contact within the team, and maintaining an onsite presence
•    Arranging meetings with key stakeholders
•    Drafting and editing all external communications and documentation
•    Coordinating the performance reporting process
•    Maintaining up to date contact information for all stakeholders
•    Producing standard contract documentation and coordinating the contract sign off process during contract negotiations
•    Keeping internal and external shared sites up to date at all times.
 
Financial management
 
•    Responsible for logging all invoices received for 17 London providers and disseminating to the team as necessary.
•    Responsible for coding all incoming invoices correctly
•    Managing the non-contracted activity invoicing process
•    Acting as the first point of contact for providers and FST team and answering queries relating to invoices.
•    Reviewing invoice backing data and raising queries and challenges on a monthly basis
•    Responsible for invoice management
 
Programme Coordination
 
•    Maintaining the log of all outstanding actions and holding team to account for completion of all programme tasks
•    Produce and coordinate the agenda for the London Commissioning meeting
•    Attending all necessary meetings to take notes and record actions
•    Producing the weekly performance dashboard
•    Assisting in producing and editing the annual report/other bespoke Programme materials
•    Supporting the Care Solutions developments for the Programme
•    Administer and lead the London Exterior Collaborative
 
Junior Contract management
 
•    To help monitor Trust performance and quality on a regular basis.
•    SLAM data Analysis/interpretation.
•    Data challenge monthly
•    Contribute towards monthly performance report
•    Manage regular communications with the contract managers
•    Attend regular contract meetings
•    Support on CCG client calls on a monthly basis

Required Skills
4+ years of project management experience
2+ years’ experience with tracking, planning projects, working with large data sets and making data-driven analytical decisions.
Basic level of proficiency with MS Project, Excel, Visio, PowerPoint and SharePoint.
Ideally NHS experience
Demonstrated ability to communicate ideas clearly and concisely.
Excellent time management, organizational, and prioritization skills and ability to balance multiple priorities.
